🔍 What is it?
The Assets module is used to record work resources and equipment assigned to employees - such as laptops, phones, access cards, cars or other equipment. It helps to track who is using what, what condition it is in and when the equipment was handed over or returned.
🧭 How the registry works
Each asset record includes the item name, category, status (in stock, in use, returned, retired), assigned employee, date of handover and return, serial number, notes, and any attachments.
🗂️ Categorization
Assets can be divided into categories, e.g. "Laptops", "Mobile phones", "Access cards". Categories can be added, edited and filtered as desired.
👥 Assigning assets to employees
Assets can be assigned to an individual employee — the record tracks the handover date, handover status, and a note. Multiple employees can be assigned to one asset (e.g., a shared vehicle).
🔁 Returns and status changes
When returning an asset, you can enter the return date, condition upon return, and a note or description of the damage. The record remains in history for audit or review.
🧾 Documents and attachments
Purchase contracts, handover protocols or photos can be attached to each record. When creating a document template, it is possible to generate a handover protocol directly in Speybl.
👁️ Overview and control
The asset overview can be filtered by status, category or employee
Asset movement history can be viewed and exported at any time
You can also track the costs allocated to individual items.
For assets of the vehicle type, the table displays the Last Mileage column with the last recorded mileage and the date of the record — the same information is also available in the asset export.
