In the Documents module, you can generate employment contracts, amendments, confirmations, and other documents based on pre-prepared templates. These documents can be created in bulk or individually and are tied to a specific employee.

🧭 How document creation works

  • First, you upload a template in .docx or .pdf format to the system, or you create a template directly in the application.

  • The template contains so-called keys – special tags (e.g. {{employee.name}} ), which are replaced with data from the system during generation.

  • You can find the keys in the template help β€” sample templates can also be found in the application

  • A document can be created from an employee detail, from a template overview or from an asset

  1. Select a template

  2. Select an employee (or more)

  3. Fill in the required information (the system will automatically fill in the available data)

  4. Confirm document creation

  5. The document is saved to the employee and is ready for signing or export.

  • Selected templates support bulk use

  • The system automatically notifies if someone has not filled in the necessary information

  • You can fill in the missing information manually or skip the document for the employee.

Document templates can be grouped into Template Sets β€” named groups that make it easier to navigate when you have a large number of templates.

  • You can create and manage template sets in the Documents β†’ Template Sets section.

  • Each template can be assigned to one or more sets

  • Then, just select the entire set in the employee detail and all documents in it will be generated at once β€” with one click.

For each template, you can set a default folder in which the generated document will be automatically saved for the employee. You can set the default folder in the template details β€” each template can have a different default folder.

When changing the default folder, there is an option to mass move all existing documents generated from a given template to a new folder.
