π What is it?
Once a document is generated, it can be electronically signed in Speybl β either directly in the application or via an integrated external service (e.g. Signi or DigiSign). This eliminates the need to print, scan and manually archive documents.
ποΈ Signing methods
1. βοΈ Simple electronic signature (inside the application)
The employee signs the document by clicking the "Sign" button.
The signature is stored as a timestamp with the user's identity
It is legally admissible for most internal documents (confirmations, approvals, internal guidelines)
2. π Certificate signing
The document is signed by a qualified certificate β e.g. by the employer or other authorized person
It is mainly used for employment contracts or legally binding documents.
Requires Settings a signing certificate in the system
3. π Signing via an external service (Signi, DigiSign, etc.)
The document is sent to the Signi or DigiSign service, from where it is sent to both parties for signature.
Once completed, the signed document is automatically returned back to Speybl
π Signing process
It is necessary to have a template ready that enables Electronic Signing.
The document is created and ready for signing.
The user will be prompted to sign.
After signing, the document is saved in the system
Signature history is recorded and traceable
π½ How to prepare a template for Electronic Signing
You need to insert keys into the document that determine who should sign the document. You can find a list of available keys in the template details. There are keys for employee signatures and company executives.
If you want a responsible person to sign documents on behalf of the company, you need to set this person in Settings β Documents.
π Archiving signed documents
Signed documents are automatically saved in the employee's Files and Payslips section
They can be viewed, downloaded or re-signed at any time.
Signed versions are protected against modification

Use a simple signature for Internal Documents that do not require formal certification
For employment contracts, we recommend using Signi, DigiSign or a certificate
Signing via Signi or DigiSign is also suitable for new hires when the employee does not yet have access to Speybl.
