🔍 What is it?
Internal Documents are used to publish and distribute internal company materials, such as guidelines, manuals, training materials, or policies. Employees can view and acknowledge reading them.
🧭 How it works
An administrator or authorized user uploads a document to the system
The document can be in PDF, Word, image, or other common format.
Each document can be given a title, description or note, and information on whether a read receipt is required.
✅ Read receipt
If the document is marked as "requires read confirmation": employees will see a Notifications, after opening the document they click "Confirm read", the system will save the date and time of confirmation. The administrator has an overview of who has read the document and who has not yet.
🧾 Records and control
The document overview shows the Employee List to whom the document has been shared, the status of read receipts, and the date of the last update.
Possibility of forced reminder (e.g. via email)
🔐 Access rights
Documents can be intended for all employees, or only for specific teams, branches or roles. Access can be set when uploading or modified afterwards.
💡 Tips
Use to disseminate important information such as health and safety guidelines, code of ethics or GDPR rules
We recommend setting up periodic read checks (e.g. every 12 months)
Use the confirmation overview as a basis for an audit or compliance check
