Using the entry questionnaire, you can easily obtain the necessary data from a future employee or external contractor - without the need to provide them with access to the application. Send the questionnaire to the selected persons by email and, after filling it out, simply approve the import of data into Speybl.
🔍 What is it for?
The Onboarding Questionnaire is used to quickly collect personal and work data from new employees or colleagues. Typically, you will use it during onboarding when they do not yet have an active account in the application.
🚀 How to submit a questionnaire
In the Employees section, click "+" to create a new employee
At the very bottom, check "I want to fill out the Onboarding Questionnaire"
Fill in the basic information – first name, last name and email.
Submit the form
Based on your selection, a unique form will be generated and sent to the employee by email.
🔔 How does an employee fill out the questionnaire?
The employee will receive an email with a request to fill it out. After clicking on the link, they will be redirected to an external page where they can fill out and submit the form. They do not need access to the application to fill it out.
📝 Required fields
The questionnaire may contain mandatory fields — the employee cannot submit the questionnaire until they are filled in. The mandatory Settings for individual fields are set in the questionnaire template. Changes to the mandatory field Settings are reflected in the questionnaire sent to employees.
🛠️ What happens after filling?
After submitting the data, the system will automatically create an approval request on your dashboard. You decide whether to approve the data (the system will automatically create an employee profile) or reject it.
ℹ️ If the employee has active access
If the employee already has an active account in the application, the Onboarding Questionnaire is not used. Instead, we recommend using the "Request for Data Update" function.
💡 Tip
After approval the questionnaire and creating a profile, the employee can be converted to an active user with one click — in their details using the three-dot icon → Change employee type.
