Benefits of forms within the company
Forms are an effective way of internal communication within a company. They allow you to collect the data you need and then use it for further processing. You can also use them as an effective and easy way to get feedback from other members of the company.
Creating a new form in the application
To create a new form in the app, go to the "Forms" tab and press the "+" button to start creating a new form. You can now start filling in the required information for the form.
Form anonymity settings
After selecting a name and description for the form, according to your preferences, you can choose whether you want the form you are creating to be anonymous. You can set the form to be anonymous, non-anonymous, or leave the decision up to the specific responding user. Using the anonymous mode gives you the option of absolute anonymity for completed surveys, allowing respondents to report their answers in a completely objective manner. None of the application users have access to who sent the reply. This measure protects the privacy of the respondents. A form that was already marked as anonymous when it was created is permanently anonymous and it is not possible, even retrospectively, to trace the respondent's specific answers. This guarantees the privacy of respondents, who need not be concerned about giving truthful and objective answers.
Form visibility settings
You can also set the visibility of the form. This functionality is useful, for example, when you need to prepare forms for later use. You can temporarily hide your form and make it visible later.
Option to add an attachment to the form
You can also choose whether you want to allow your respondents to upload an attachment as part of completing the form.
Option to set the choice of form recipient
Last but not least, you can define whether the respondent can choose the specific recipient to whom the form will be sent when submitting the form. With this functionality, each respondent can decide whether they want to use the option to send the form only to selected persons. If the respondent chooses not to use the option and does not select any specific recipient, the form will automatically be sent to all persons who have permissions to the form. Users can either have view-only permissions, i.e. they can look at the forms and possibly see the responses for which they are listed as recipients, or they can have edit permissions, so they can edit the form. They can change individual questions and see all the answers of all users who have filled in the form.
Manage saved forms
When you save a form you are creating, it will appear in the list of forms you have already created. You can then click on the eye symbol to go to the form detail.
Form detail - edit and add questions
On the detail page, in addition to editing the data you have already entered when creating the form, you can use the "+" button to add questions that you want to know the answer to from the respondents.
View answers and respondent information
On the detail page of a given form, you can also see at the bottom which employee has completed the form and view their answers.
Workplace misconduct reporting form
Due to the ever increasing number of Whistleblowing cases (protection exposing criminal, dangerous or harassing and inappropriate behaviour in the workplace), we have decided to provide all users with a pre-prepared form to report possible criminal, dangerous or harassing and inappropriate behaviour in the workplace.
Below you will find brief information on the issue of Whistleblowing.
What is Whistleblowing?
The process by which an employee or other member of a company exposes and reports illegal, unethical or harmful activities to the public sector or a private company. It is an important mechanism for protecting the public interest and transparency. The danger is that whistleblowers face the risk of retaliation such as dismissal, harassment or legal action. This can create fear and deter potential whistleblowers from revealing important information. Yet whistleblowing is a key tool for combating corruption, fraud, sexual or other forms of harassment, and other illegal activities that might otherwise remain secret and lead to damage to the company's reputation or harm to employees.
