Document generation process
The process of generating documents from already prepared templates is very simple. Just choose the template with the document you want to have generated and use one of the document generation methods.
Document generation methods
1. The first way of generating documents, is to generate a document on the detail of the selected employee.
In the list of employees, which can be found in the "Overview" section on the "Employees" tab of the application menu, select the desired employee and go to his detail.
On the employee detail, go to the "Files and Payroll" tab and in the "Files" tile, you can choose whether you want to upload one of the files from your device's storage to the employee or use one of the document templates you prepared earlier. You will be taken to the template selection by clicking on the "+" button, where you can then select the desired document template from the available options. After that, a check of the employee's data is still performed, which is required for the document generation process in case wildcards are used in the document, which the application should automatically insert into the generated document for the selected employee. If some of the required data is missing, the application will identify the missing data itself. Subsequently, you need to complete these data for the employee and check the document again. Once the check has been carried out correctly, the application has all the necessary information to generate the required document.
Once the document has been assigned to the employee, you can then select whether you want to request an electronic signature from the employee in the details of the generated file, or you can download the document in the selected format to your device storage.
2. The second way to generate a document for the selected employee is to go to the "Documents" section in the "Settings" tab in the application menu, to the detail of one of the already prepared document templates and click on the "+" button in the "Documents" tile.
Check and automatic generation
Then, just select the employee you want to assign the document to from the list of employees and start the checking process by clicking on the "Check" button. The application will check for you whether you have recorded all the necessary information for the selected employee, which you have decided to have automatically generated using wildcards (keys). If any of the required data is missing, the application will tell you exactly which data needs to be completed for the employee so that the document can be generated correctly. If the application does not find any errors, it will still offer you the option to request an electronic signature from the employee and then you can generate the document.
Employees and generated documents
Once a document is generated, it is automatically assigned to the employee. The employee will find this document on their profile among their personal files. If a signature has been requested, the employee can sign the document here. If a signature has not been requested, the employee can view the generated document or download it in PDF format to his/her device storage.
TIP: You don't have to generate your documents only individually for each employee. If you need to generate a document for multiple employees at the same time, you can select and tag multiple employees at the same time when generating the document to generate a document for all of them with one click. With this functionality you can save your time.
