What is Kiosk Mode and what can I use it for
It is a simple, standalone environment in our Speybl app that is deliberately limited to a single function - recording employee arrivals and departures to work. The mode has been developed to have a very simple and intuitive user interface, making it quick and efficient for employees to use in practice.
The mode can be accessed directly from the Speybl login page. The link to switch to this mode can be found at the very bottom of the footer of the login page.
An example of how Kiosk mode is used in practice
In practice, the mode should be run permanently on a selected device (e.g. tablet) that is placed near the employee entrance to the workplace. Each employee who comes to work logs into the system using their personal number, which is automatically generated and assigned to them. The personal number is always unique within the company and each employee's arrival is thus always assigned to a specific employee.
The attendance records are kept in real time and the competent person can keep track of the individual arrivals and departures of employees in his or her Speybl user account.
How the process of recording attendance in the system works
After entering his/her personal number, on the selected device, the employee enters his/her user account environment in Kiosk mode. Once logged in, he/she can only see his/her name and that day's attendance track. In the mode environment he has only 3 basic buttons to record the following operations - arrival to work, lunch break, leaving work. The mode is built to make the process of recording attendance as fast as possible and therefore all an employee needs to do is log in, select the desired action and leave.
Automatic logout from employee account in Kiosk mode
Any logged-in employee can log out of their account using the "Back to Login" button found in the top right corner of Kiosk Mode. However, it is not strictly necessary to use this button as the automatic logout feature is implemented in the mode.
For security reasons, we have implemented an automatic logout feature in Kiosk mode to not only make it easier for logged-in users to work with the mode, but also to prevent possible interference by an unauthorized person with the logged-in user's attendance.
How automatic logout works
Immediately after a successful login using the employee's personal number, an automatic logout countdown is triggered. The timer is set to 60 seconds. However, the application will only log the user out after 60 seconds if there is no inactivity, i.e. no further action in Kiosk mode.
When one of the attendance buttons is clicked, the auto logout timer will automatically decrease to 5 seconds and the employee will be automatically logged out after this time.
This measure serves to simplify attendance entry as much as possible, while eliminating the risk of an unauthorized person tampering with the currently logged in employee account.
After entering the attendance, the employee does not have to deal with logging out, but just leaves and the system takes care of the logout itself. By setting the timer to 5 seconds, it is prevented that the person who accesses the device next can interfere with the attendance of the previous logged-in person.
Activate Kiosk Mode for your business
In order to start using Kiosk mode actively, you first need to enable the activation of the mode in your user account (administrator). To enable activation, go to the settings section → integration, where in the "Kiosk Mode" tile, enable the mode activation by clicking on the appropriate slider in the settings.
The mode will be activated and you will see a unique admin code generated, which is used to log your company into Kiosk Mode.
What happens when Kiosk mode is activated
Once you activate Kiosk mode in your user account and the login code is displayed, unique personal numbers will be automatically generated for all your employees that you currently have on record in Speybl.
Where an employee can find their personal code
Each employee's personal code is generated after Kiosk mode is activated and automatically sent to their email address.
However, the employee can simply view his or her login code again at any time in his or her Speybl employee account. He can find it in the "My Profile" section of the Settings tab, where he has the option to redisplay his personal code at any time using the eye icon in the tile entitled "Kiosk Mode Code".
Changing an employee's personal code
If an employee needs to change their personal code to log into Kiosk Mode for any reason (e.g. they suspect another employee knows their personal code), they can simply request a new code to be generated in the 'Kiosk Mode Code' tile. The new code is automatically generated and displayed to him and he can immediately start using it to log in.
The employee can also have his personal code changed by a competent person (supervisor, HR manager, etc.). The change can be made on the employee's detail in the settings tab in the "Code for kiosk mode" tile.
Preventing employees from changing their personal code themselves
If for some reason you don't want your employees to be able to change their personal code themselves in their employee account, you can prohibit them from doing so. Just go to "View" in your account settings and disable the option to show the code for kiosk mode in the "Cards on employee detail" section.
Employees will no longer be able to change their personal code at their own discretion, but will have to ask a competent person (supervisor, HR manager, etc.) to change their code for them. This can give you control over changes to individual employee codes.
Enable Kiosk mode on the selected device and log into the company account
Once you have Kiosk Mode enabled and all employees have their personal login code, you can turn on Kiosk Mode on the selected device.
Simply launch Kiosk Mode from the Speybl login page and then enter your activation code that was generated when you activated Kiosk Mode. Use the code to log into your company environment, where individual employees can now log in using their personal codes.
Simple mode
You activate the mode with the appropriate slider, which can be found in the integration settings in your user account. Choose the number of characters for the personal codes that employees will use to log in. The minimum length of the personal code is set to 6 characters for security reasons. Finally, choose the types of attendance you want to display in the Simple Mode environment. The selection of attendance types listed is linked to the attendance types available to you in your user account. Thus, in addition to the predefined attendance types, you can also use the attendance types you have created in the Kiosk Simple Mode.
The simple mode is built to make the process of checking in an employee at the entry device as fast as possible and without unnecessary delays. Employees simply enter their personal code on the static keypad and select the tile with the desired attendance type. There is no need to deal with logging in, confirming or logging out.
TIP: If you want to increase the security of using Kiosk mode in your company, you can reset existing personal codes for all employees at regular intervals. This can be done with one click.
Simply turn Kiosk Mode off and back on in the Settings section → Integration. Turning it back on will automatically generate new personal codes for all employees. The new codes are automatically sent to the employees' email pages immediately.
