As part of the latest update to Speybl, we've added several new features to make managing your HR even easier and more efficient. Here's an overview of these new features:
Automatic employee archiving
The automatic employee archiving feature in our app allows you to set up an automatic archiving process for employees whose employment contract is coming to an end. In this way, you can simplify and speed up the management of employees in your company.
When this feature is activated, employees who have only one active position and whose employment ends in 30 days or less will be identified. For these employees, the "Terminate Employment" action will be automatically performed on their detail.
When this action is performed, information will be displayed on the employee's detail that their employment will be terminated on a specific date XY, along with a button to cancel this process.
In addition, this information will also be displayed in the employee list to give you an easy overview of all employees whose employment relationship is in the process of being archived.
To ensure this process is managed correctly, you can also set up an alert for the HR manager or administrator that is sent when the automatic archiving of employees is triggered. This way, the person concerned will be informed and will have the opportunity to react to the process.
Extension of security features for application login security
We have now added a "Security" tab to the company settings, where the user has the option to set additional security measures for logging in.
You can set up two-factor authentication (2FA) for all users.
There will also be an option to restrict logins from only allowed IP addresses. In the list of secure IP addresses, you can specify only secure addresses from which other users will be able to log in.
This will provide a higher level of security for your account.
Two-factor authentication can be activated by each of the company's employees in their user account settings. The settings can be found next to their password.
The administrator also has the power to deactivate two-factor authentication for selected employees.
Attendance planning
The attendance scheduling feature brings enhanced options for managing and tracking employee attendance to our application. This feature allows you to create and store scheduled attendance, which can then be compared to actual attendance.
To improve clarity, changes have been made to the Gantt chart, which now displays both scheduled and actual employee attendance. With the filter, it is possible to switch between planned and actual attendance and focus only on the desired type of attendance.
Planned attendance is only displayed in the Gantt chart, while all other components of the application (attendance list, history, employee detail) display actual attendance by default. If needed, you can activate the display of the scheduled attendance in the attendance list to get an overview of the scheduled attendance for each employee.
In the attendance history filter, the option to switch to scheduled attendance using a slider has been added to allow you to clearly distinguish scheduled attendance from actual attendance. This allows for better identification and management of scheduled attendance data.
The team leader has the ability to schedule attendance for other employees. This planned data is displayed in shaded lines to make it clear that it is planned attendance created by the manager.
In the Attendance Types settings, it is possible to mark a certain type as "Scheduling".
In addition to adding new features, we have made the following improvements:
- Added a pop-up window to the team deletion process asking if it is indeed required to delete the selected team. The popup serves as a warning that if the team is deleted, the action is irreversible and the user can choose what should happen after the team is deleted with its members. The user can choose whether these members will be moved to the parent team or whether the individual members will be completely released.
- User-friendliness improvements have been made to the password reset process, as well as increasing menu clarity when browsing the app on a mobile device.
- Improvements have been made to the settings for hiding any tabs that are not accessible by a given app user.
As part of the update, improvements have also been made to security, app responsiveness and minor bugs and bug fixes have been made.
