Creating document templates

To create templates that allow you to quickly and easily generate pre-made documents, go to the "Settings" tab and select the "Documents" tab. In this tab, you will find a section called "Document templates" at the top.

Press the "+" button to start creating a new document template. Creating the template itself is a very quick and simple process, just choose a name and a template code that serves as its unique identifier.

After clicking the "Save" button, the newly created template will automatically be added to your template list.

For further editing of the template you need to go to its detail. This can be viewed by clicking on the eye icon next to the template.

Editing a template

At the very beginning of the selected template's detail, you can change its basic data at any time. In addition to changing its name and code, which were already required when creating it, you can add a label to the template here.

You can also see tiles with clear statistics of a particular template. This allows you to easily see the number of documents generated by the template, the number of signed documents or documents that are still waiting to be signed.

Placeholders for efficient generation

You can then upload a file to the template, in which you can use the placeholders (keys) we have prepared for you to make the generation more efficient later.

A list of these characters can be found in the "How to generate a document" tile by clicking on the help button.

In order for the application to be able to generate the resulting document based on the file you have prepared, the required format of the wildcards must be followed.

Example of using placeholders

To illustrate the use of placeholders, let's use an example. For example, if you include the placeholder "${EMPLOYEE_FULLNAME}" somewhere in the file, the application will replace it in the subsequent document generation process with the full name of the employee for whom the document will be generated.

This way your template is ready for subsequent generation.

Possibility to use your own placeholders

You can also use your own placeholders in the document that you didn't find in our glossary. The only thing you need to observe is the format of their input, so that the application recognizes that it is a placeholder and offers you the possibility to replace it in the document with your own text.

So if you want to prepare your own placeholder for insertion in your template, just create a placeholder in your document and place it where you want it to appear. You can use diacritics in the placeholder. In the document, the result will look like this: Random text: ${Custom key}.

Before generating a document from the appropriate template, the application recognizes the custom placeholder and displays the appropriate field called "Custom Key" for you to fill in. After the document is generated, this data will be inserted in the place where the placeholder was used.

More information about the actual document generation process can be found here.
