This tab allows you to work with documents directly in the application environment This can be employment contracts, agreements, handover reports and many other documents that you use repeatedly.
The document generation feature allows you to generate the documents you need from pre-made templates with one click.
Documents are generated based on pre-made templates that you can create in the Documents → Templates tab, where you can also then bulk generate them for selected employees.
To generate a document based on a template for a specific employee, go to the "Files & Payroll" tab in the details of the respective employee and select the desired document template in the "Files" section using the "+" button and generate it for the employee.
Wildcards for efficient generation
When creating templates, you can use the wildcards (keys) that we have prepared for you.
A list of all available wildcards can be found on the details of the selected template in the "How to generate a document" tile by clicking on the help button.
In addition to the predefined wildcards, you can also use your own wildcards in the document that you did not find in our dictionary.
For more information on how to use wildcards when creating document templates, see our documentation.
Uploading files to the application, subsequent editing and generation
When creating a template for generating a document, you can upload any file in MS Word format, then replace the required data in this file with wildcards and the document prepared in this way is ready for simple and repeated generation of the resulting document in PDF or MS Word format for any employee in the system.
Electronic signing
For the document template you create through our application, you can choose whether you want the document that will subsequently be sent to an employee to be designated for electronic signing.
Immediately after sending, a notification will appear on the employee's personal dashboard that there is an unsigned document that requires their signature.
The electronic signature may be required for the generated document by the employee, but also by a responsible person (this may be a supervisor or other competent person).
Difference between the signature of the employee and the responsible person
The employee signature is required within the application from the employee to whom the document is addressed. Once the employee has signed the document, the employee's signature is inserted in the appropriate place (defined by the appropriate wildcard) in the relevant document.
In the same way, the request to sign the document is sent to the responsible person within the application. To successfully sign the document, the responsible person must follow the same procedure as the employee from their user account.
Once both parties have signed the document, both the employee and the responsible person can access the complete signed document from their user account.
For more information on electronic signing of documents, see our documentation.
Where the employee can find the documents that have been generated for him/her
The employee can find all the documents that have been generated for him/her through the templates provided on his/her detail in the "Files and Payroll" tab under the "Files" section.
Here he can also preview the document and check its validity, etc.
Bulk generation of documents
In order to save time and make work more efficient, the application also provides a bulk document generation function for multiple employees at the same time.
This feature can be found on the details of the specific template in the "Documents" section. You can then use the "+" button to generate the document in bulk for all selected employees at the same time.
For more information about document generation, see our documentation.
Table of documents
In the document table you can see all the documents you have already generated for your employees.
Within the table, you can see at a glance columns that provide information about who generated what document when, whether the document requires an employee signature, or whether the document also requires the signature of a responsible person.
For the application to be able to generate the resulting document based on the file you have prepared, the required wildcard format must be followed.
Filtering in the document table
You can filter the documents in the table according to the available criteria.
For example, filtering is possible based on a specific document template, employee name, signature requirement, and many other criteria.
